Grouping in McFile: total control over what you share

Imagine that you need to send project documentation with different file types to a client. Previously, the solution would be to create a parallel structure, duplicate files, or share item by itens one by one. Now, with the ability to share selected items in groups, you mark exactly what matters and send it in seconds via a link or QR code.

What does it mean to have itens in groups?

At McFile, groupers are records used to organize other items within a logical structure. Think of a cabinet that holds boxes, or a company that centralizes contracts, reports, and folders. All of this hierarchy resides within a single grouper.

Sharing selected items allows you to choose exactly which items from a group you want to send to another person, without having to expose the rest of the structure. When you select the desired items, McFile generates a direct link or a QR code, and in both cases, the recipient always has access to the most up-to-date version of the files, without needing access to the platform’s internal environment.

How do I share selected items in groups?

You can find the sharing option directly on the registration screens. Select the items you want to send and click “Share selected“, which you can then share via a link or a QR code.

To make selection easier, the aggregator organizes its content into tabs by item type, such as Documents, Emails, Physical Folders, and Mailboxes. This means that if you only need to share the documents for a project, simply access the corresponding tab, select the desired items, and share.

What would be the impact on document management?

Sharing selected items in groups goes beyond convenience. You only expose what you need. Without creating parallel folders, without duplicating files, and without reorganizing your structure, you choose what to share.

The recipient always sees the correct version. The link and QR code point to the files in real time, and if there is an update, they will automatically receive the most recent version, without resending or version confusion. For audit, approval, or compliance processes, this is traceability in practice.
